PRIVACY NOTICE RECRUITMENT

Audemars Piguet (“we”, “us” or “our”) takes your personal data seriously. The purpose of this notice (the “Privacy Notice”) is to inform you about the processing of personal data that we may collect as part of your recruitment process via the SmartRecruiters platform. This Privacy Notice applies to all candidates, interns and current employees of Audemars Piguet who apply for a position within Audemars Piguet.

When you provide your personal data to an Audemars Piguet entity, that entity is responsible for collecting and processing your personal data at the local level, in accordance with the laws applicable to it. At group level, the Swiss company Audemars Piguet (Marketing) SA is responsible for defining the overall policy for the processing and management of your personal data for recruitment purposes, in particular via the SmartRecruiters platform.

We invite you to take the time to read this Privacy Notice in its entirety. We are available to answer any questions you may have at privacy@audemarspiguet.com, in particular in connection with the exercise of your rights regarding your personal data as described in Section VII.

I. PERSONAL DATA WE COLLECT

This Privacy Notice applies to the personal data that we may collect about you as part of the recruitment process, namely:

Personal data: surname, first name, title, email, private and professional addresses, telephone number, professional background, education, work certificates, personal interests, photo, date of birth, gender and marital status.

Online data: IP address, user ID, mobile device used, operating system, Internet service provider, date and time of connection and disconnection.

Data relating to the application process: questions asked during job interviews, answers, comments, reason for hiring, internal application, as well as notes received and sent to candidates via the application’s email services, including notifications and the content of emails related to the recruitment process.

Online usage data related to the SmartRecruiters platform: cookie IDs, IP addresses and URL history.

Registration data: user ID, password, activation date, creation date, number of failed logins, modification date, status type, verification date and status, and information allowing verification of whether and by whom personal data has been entered, modified or deleted on the SmartRecruiters platform.

If you choose to interact with us through a social media platform or another third-party service, we will collect the information you have provided through that platform.

We recommend that you only provide the information requested or necessary for your enquiry. Sensitive data relating to race, ethnic origin, political opinions, religious or philosophical beliefs, and data concerning health, sex life or sexual orientation must not be transmitted.

Links to other websites. Our sites may contain links to third-party websites (including advertising, partners or social networks). These websites have their own privacy policies (including regarding the use of cookies), which we invite you to review. We accept no responsibility for the privacy policies of such third-party websites, which you access at your own risk.

Privacy and protection of minors. We do not collect personal data relating to individuals under the age of 14. Therefore, if you are under 14 years old, you must not use our recruitment platform or send us any personal information about yourself.

II. USE OF YOUR PERSONAL DATA

We collect and use your personal data based on one or more of the following legal bases:

  • performance of a contract and pre-contractual steps for the selection of candidates and recruitment;
  • our legitimate interest in using the SmartRecruiters application platform and its Winston Match tool as a pre-screening support tool;
  • our legitimate interest in ensuring the security of IT operations;
  • our legal and regulatory obligations;
  • your consent to be included in the Talent Pool (which may be withdrawn at any time).

Depending on the context and jurisdiction in which you apply, we may use your personal data for the following purposes:

  • carry out recruitment and selection, including interviews, assessments and psychometric profiling, as well as pre-screening;
  • perform identity, eligibility and right-to-work checks;
  • verify professional background, qualifications, experience and references;
  • where permitted by law, carry out candidate validation and background checks;
  • ensure proper administration of the company, including compliance with record-keeping obligations;
  • where applicable, manage reimbursement of expenses related to attending interviews;
  • where applicable, manage pre-employment measures, including preparation of contractual and non-contractual documents, registration with social schemes and organisation of access to systems and buildings;
  • monitor the recruitment process;
  • present you with new job opportunities if you have expressly consented (talent pool).

III. ARTIFICIAL INTELLIGENCE AND AUTOMATED DECISION-MAKING

Our application portal managed by SmartRecruiters includes certain features that use artificial intelligence (AI). In particular, the portal includes the Winston Match functionality, which ranks each application in a manner similar to how a recruiter reviews submitted documents and orders applications based on relevant skills and experience.

This functionality relies on natural language processing and algorithmic analysis techniques to compare the information in your application (such as your professional experience, skills and education) with the requirements described in the job offer.

Concretely, the tool “reads” and analyses the content of your application file (for example your professional background or the skills you mention) as well as the job description, in a manner comparable to a recruiter carefully reviewing written documents.

Based on this analysis, the tool identifies matches your profile and the job requirements. The importance given to each element may vary depending on the nature of the role.

The result of this analysis does not constitute a final assessment but rather an aid to reviewing applications. It provides recruiters with an indication of the level of match between a profile and a job offer, as well as explanatory elements highlighting strengths or potential gaps.

In this way, an AI model initially assists recruiters in identifying candidates to interview but does not independently make hiring or rejection decisions.

If automated decision-making were to be used, we would inform you accordingly and provide information about the logic involved and the significance and consequences of such processing.

We may also use third-party technology providers that integrate AI into their products (such as Microsoft), for example for translating data from emails or documents you send us.

IV. HOW WE PROTECT YOUR PERSONAL DATA

Access to your personal data is restricted to those Group employees who reasonably need to have access to it in order to carry out the tasks entrusted to them. We have put in place reasonable organisational, human and technical measures to adequately protect your personal data and our processing of it. The measures we apply to prevent unauthorised access to your personal data and thus prevent it from being altered, disclosed or destroyed comply with recognised information security standards. They are regularly adapted and improved in line with technological advances.

Nevertheless, although we endeavour to protect your personal data in our possession, we cannot guarantee the security of information transmitted to our site while in transit via the Internet using an unsecured protocol.

V. SHARING OF YOUR PERSONAL DATA

We undertake not to sell, exchange, rent or otherwise transfer your personal data.

The information we collect is hosted in Europe (Frankfurt, Germany). Your personal data is accessible only to the Audemars Piguet entity to which you have applied and, depending on the position, to the parent company in Switzerland.

We may use third-party service providers to support our business operations, for example in connection with the management of our IT systems or our recruitment platform, which is outsourced to SmartRecruiters GmbH, headquartered in Berlin, Germany.

We always require these third parties to provide sufficient guarantees of confidentiality and security and to take the necessary organisational and technical measures to protect your personal data in accordance with the applicable legislation. When we transfer personal data to a country that is not designated by the Federal Data Protection and Information Commissioner or by the European Commission as providing an adequate level of protection for personal data, the transfers are governed by the contractual clauses in force adopted by the European Commission and adopted by the Commissioner or through mechanisms validated by the latter or by the competent authorities responsible for the protection of personal data within the European Economic Area and, where applicable, supplemented by measures that may be required in other jurisdictions. In addition, service providers are only authorised to access and use your personal data on our behalf in relation to the specific tasks assigned to them on the basis of our instructions.

VI. STORAGE OF YOUR PERSONAL DATA

Your personal data is stored for twelve months after your application has been rejected. After this period, it will be deleted. If you have consented, your data will be stored in our talent pool for a period of twenty-four months in order to consider you for suitable positions at a later stage. You may request deletion of your data at any time by contacting privacy@audemarspiguet.com.

VII. YOUR RIGHTS TO YOUR PERSONAL DATA

Access to personal data, modification, updates and deletion : Where permitted by applicable law, you may (i) request access to, consult and obtain a paper or electronic copy of your personal data held by an Audemars Piguet entity and (ii) request the correction, limitation, updating or deletion of, or object to the processing of, your personal data. You may exercise these rights by sending a written request to the Audemars Piguet entity with which you interact or to the postal or e-mail address set out in Section VIII "Contact Us" below. In general, we can verify the identity of the requestor by comparing the information you provide with information we have collected about you. However, we may need to ask you for additional information to verify your identity. Insofar as we are able to verify the identity of the person making the request with a satisfactory degree of certainty, we will endeavour to present you with the personal data concerned, correct it or delete it, depending on your request and in accordance with the conditions laid down by the applicable law.

Complaint to a supervisory authority: without prejudice to any other legal remedy, you have the right to lodge a complaint with your competent supervisory authority for the application of data protection rules in the event of an alleged breach of the data protection rules applicable to you.

VIII. CHANGES TO OUR PRIVACY NOTICE

We reserve the right to modify the Privacy Notice at any time. We encourage you to visit this page regularly to review any changes and to stay informed about the measures we take to protect the personal data we collect. It is your responsibility to check our site regularly for changes.
